AI Use and Document Extraction Notice
This notice explains how HomeSteward may use AI-assisted features, especially for document extraction and plain-English summaries.
1. What AI may be used for
HomeSteward may use AI to help:
- Extract possible assets from uploaded documents
- Identify dates such as installation, service, warranty or EPC expiry dates
- Identify possible maintenance events
- Summarise survey issues and condition notes
- Suggest missing information
- Draft plain-English explanations of rules-based risk outputs
- Help classify documents
2. What AI is not used for
Important limitation
AI should not be treated as a professional surveyor, gas engineer, electrician, valuer, insurer, solicitor or contractor. AI should not make final safety, legal, compliance, structural or insurance decisions.
The final risk score and maintenance timeline are generated by HomeSteward's rules and evidence model, not by an unconstrained AI answer.
3. Suggested vs confirmed information
AI-extracted information is labelled as suggested until you confirm it. HomeSteward distinguishes between:
User-entered facts
Information you have typed or entered directly
Document-extracted suggestions
Information AI has identified from your uploaded documents
User-confirmed extracted facts
Suggestions you have reviewed and accepted
Rejected suggestions
Suggestions you have dismissed as incorrect or irrelevant
System assumptions
Defaults used by HomeSteward when information is missing
Unknown or uncertain fields
Information that is missing or cannot be determined
4. Accuracy limitations
AI outputs may be inaccurate, incomplete, outdated or misleading. Documents may be ambiguous, scanned poorly, cropped, incomplete or internally inconsistent. You should check important information against the original document and, where appropriate, with a qualified professional.
5. Uploaded documents and privacy
Uploaded documents may contain addresses, names, financial details, contractor information and property history. AI extraction processes only what is necessary to provide HomeSteward features.
Your documents are not used to train general AI models.
6. Human review before data is saved
Before AI-extracted data becomes part of your home record, you are shown:
- What was extracted
- The source document
- A source quote or location where possible
- A confidence level
- Options to confirm, edit or reject each item
7. Relationship to risk scores
HomeSteward's risk and timeline outputs are based on:
- Confirmed asset facts
- Maintenance rules
- Lifecycle profiles
- Confidence scores
- Evidence tiers
- User-confirmed document evidence
- Model assumptions
AI may help explain these outputs but does not secretly generate risk scores.
8. Safety-critical issues
Urgent issues require professional review
If a document or entry suggests a possible urgent issue, HomeSteward may flag it as needing professional review. Such flags are not diagnoses. Please seek qualified help for gas, electrical, structural, damp, roof, fire, carbon monoxide, serious leak or similar concerns.
9. Your controls
You can:
- Enable or disable AI-assisted document extraction in Account Settings
- Review suggested extractions before they are saved
- Delete uploaded documents at any time
- Correct extracted facts
- Export your data
- Delete your account
